The successful candidate will be working a mixture of on-site and off-site work based on the parameters for our operations to meet the needs of our donors, our staff and our communities. About the role
Canadian Blood Services is looking for a temporary full-time Program Coordinator to join our dynamic Testing team.

 

The Testing team is responsible for supporting Canadian Blood Services by performing routine and extensive testing. These testing services help ensure a safe and secure blood supply that protects donors and recipients. Every unit is tested so we can ensure a safe supply chain to every patient. In this role, you will be responsible for providing a variety of advanced administration and project coordination to facilitate the effective daily operation of the Testing Operations division and support the senior leadership team. The position will work closely with the entire testing team and external parties to coordinate and move forward division objectives.

 

Formula for success
•    Using your communication skills and ability to work independently, you will draft correspondences, reports, presentations, meeting agendas and minutes by gathering, compiling, organizing and formatting information and data in accordance with standards, policies, procedures and regulatory requirements to support the work of the unit. You will also coordinate document management and document control activities and provide input and suggestions for improvement.
•    Leveraging your organizational skills, you will create and maintain databases and tracking systems, use spreadsheets and other database applications to produce reports and provide data as required, both for Canadian Blood Services and the related group of international Alliance of Blood Operators (Testing groups).
•    Keeping track of when changes occur, you will update and/or create entries for the electronic corporate address book, email groups and distribution groups, and update the Testing team’s national and international peer groups in a timely manner with minimal supervision.
•    You will manage office activities, workflows, and events to improve existing processes including arranging meetings, scheduling appointments, making travel arrangements, and supporting special projects to facilitate the smooth operation of the unit.
•    Drawing on your coordination skills, you will provide support to the process groups and coordinate project summary meetings by collating all project updates for testing using an appropriate presentation software.
•    You will maintain privacy when dealing with the administration of confidential information including employee data and employee relations matters involving performance issues, restructuring initiatives, and budgetary exercises among others.
•    Applying your attention to detail, you will complete and/or process payroll and related forms, travel expenses, invoices, purchase orders and/or other financial documents by recording, entering data and investigating discrepancies as required to track expenditures and verify that budget transactions and timekeeping entries are correctly recorded.

 

Desired education and skills 
•    Completion of a College diploma in Business Administration with 2-3 years’ experience, or an equivalent combination of education, training, and experience.
•    Thorough knowledge of office processes and protocols.
•    Computer literacy is essential, with proficiency in the following software packages: MS Word, Excel and PowerPoint.
•    Working knowledge of SAP is an asset.
•    Strong organizational and time management skills to ensure delivery on potentially competing priorities.
•    Flexibility to adapt to varied and changing requirements.
•    Initiative and creativity to look for improvements and make suggestions on process-related issues.
