About the role
Canadian Blood Services is looking for a Regular full-time Clerk - Enterprise Facilities to join our dynamic Enterprise Facilities team.
The Clerk - Enterprise Facilities is responsible for responding to all inquiries via phone or in person and redirects accordingly. In this role, you will receive and dispatch courrier parcels as well as assist with other departmental requirements.
Formula for success
- Act as a first point of contact by answering general inquiries from the public and visitors with professionalism and courtesy.
- Leverage excellent customer service skills to welcome and direct guests appropriately, ensuring they are supported and escorted as needed.
- Ensure all visitors adhere to Head Office security protocols, including sign-in procedures, issuing visitor passes, and coordinating staff escorts.
- Manage incoming, outgoing, and internal mail by preparing shipments, creating labels, and maintaining accurate records.
- Monitor and manage the team’s shared inbox, responding to internal inquiries efficiently and effectively.
- Assist with event preparation and documentation, contributing to the smooth execution of internal functions.
- Ensure mailroom equipment is in working order and maintain office supply inventory as needed.
- Coordinate large-scale mailouts, including interoffice and site-wide distributions.
- Support purchasing and maintenance processes by tracking work orders, coordinating purchase orders, and assisting with budget tracking.
- Assist in audit preparation and documentation, including the coordination and documentation of quality events.
Desired education and skills
- Completion of secondary education.
- Minimum one (1) year experience in related experience.
- Technical skills including MS Word, Excel, PowerPoint and Outlook.
- Strong communication skills in English and French are essential.
