About the role
Canadian Blood Services is looking for a Temporary full-time Clerk - Ottawa to join our dynamic Donor Relations & Collections East team.
The Donor Relations & Collections East team is responsible for supporting Canadian Blood Services by collecting donor blood in a safe manner to enable safe products which save lives every day. In this role, you will be responsible for clerical work reporting to the Supervisor, Resources. You will adhere to all current operating procedures and practice good judgment in the performance of job responsibilities while promoting the Centre’s objectives through good interpersonal skills. .

Leveraging strong document‑management skills to oversee Collections documentation (SOPs/WIs), including implementation, updates, and the rescinding of documents.

Drawing on accuracy and attention to detail to compile, type/keyboard, update, file, and organize reports, templates, manuals, and statistical data.

Maintaining various record‑keeping systems and databases to ensure information accuracy, accessibility, and compliance.

Utilizing efficient document‑handling practices to prepare, scan, and email materials to various departments.

Should have strong organizational abilities to book accommodations and/or travel as required.

Utilizing coordination skills to reserve meeting rooms, set up equipment, and arrange catering for departmental needs.

Performing day‑to‑day operation of automated and other office equipment in support of departmental activities.

Maintaining office‑supply inventories by tracking usage, updating records, and preparing requisitions.

Drawing on strong communication and organizational skills to record, produce, and distribute meeting minutes and agendas.

Establishing and maintaining structured filing systems for training documentation.

Maintaining the Outlook calendar for the Collections Manager to ensure accurate scheduling and coordination.

Performing receptionist duties, including greeting visitors and managing incoming inquiries

Performing additional administrative duties as required to support departmental operations.
Desired education and skills
- Completion of a post-secondary education in a relevant discipline from a recognized academic institution.
- Minimum three (3) to six (5) years' experience in Office Administration required.
- Technical skills including Sharepoint and MS Office (Excel, Word, Outlook) as well as scanning skills are essential.
- Excellent communication skills in English is essential, including legible handwriting.
- Superior multi-tasking skills required.
- Excellent administrative skills including typing, filing, and recording are essential.
- Ability to work as a team and independently.
- Detail-oriented and capable of working in a highly regulated environment.
- Flexibility is essential to ensure document implementations to meet all deadlines.

What you can expect
- Shift/hours - Monday to Friday 8:00 to 16:00 with occasional Saturdays.
- Travel requirements - travel will be required to our Concourse Gate site for Document Management.
- Physical requirements - ability to lift weight up to 10 kg (22 lbs.).
