About the role
Canadian Blood Services is looking for a Temporary full-time Senior Administrative Assistant to join our dynamic Integrated Marketing team.
The Senior Administrative Assistant will provide operational and administrative support to the Integrated Marketing team during a 9-month transition period. The role coordinates purchasing, financial reporting, forecasting activities, team logistics, and departmental administration, ensuring accurate, compliant processes and timely delivery of financial and operational requirements.

You will coordinate departmental purchasing and procurement activities, managing purchase requisitions, purchase orders, and purchase card administration while ensuring accurate, timely, and policy-compliant transactions through SAP.
- Drawing from your great attention to detail, you will support monthly forecasting, accruals, budgeting, and year-end financial processes by preparing reports, coordinating financial data, maintaining planning systems, and ensuring timely, accurate financial inputs
- Utilizing your superior interpersonal and communication skills you will act as the first point of contact for operational inquiries, providing guidance on purchasing, financial processes, expense reporting, and system access, while escalating complex issues as needed.

Leveraging your excellent organizational skills, you will maintain departmental records, trackers, and system access while coordinating team logistics and onboarding activities to support smooth day-to-day operations.

You will coordinate team events and retreats, managing logistics, vendor relationships, payments, and budget tracking to ensure successful, on-schedule delivery.
Desired education and skills
- Completion of post-secondary education, preferably a collage diploma or university degree in Business Administration, Marketing, Finance, or related discipline.
- Minimum three years related coordination, financial, or operational experience.
- Technical skills including SAP (the enterprise resource planning system used for purchasing and financial transactions), TM1 (the financial planning and budgeting system), or comparable ERP or financial planning systems is preferred. Willingness to learn Canadian Blood Services systems on the job is required.
- Strong proficiency in MS Excel, Word, PowerPoint, Outlook, and SharePoint, with comfort working with numbers, financial systems, and recurring reporting cycles.
- Strong organizational and time-management skills, with the ability to bring order and clarity to multi-stakeholder operational processes and to maintain accuracy under competing deadlines.
- Strong communication and interpersonal skills, with the ability to discuss operational and financial matters with tact and discretion.
- Sound judgement and attention to detail, including knowing when to act independently and when to escalate to the Manager or Finance.
- Demonstrated ability to work independently with minimal supervision.

What you can expect
- This role will work in a hybrid environment with requirements to be onsite at Canadian Blood Services location 40% of the time/days of the week.
- You will work Monday to Friday, 37.5 hours per week, 7.5 hours per day.
- Travel requirements - occasional travel to head office on a needs basis.
